This is a typical workflow we take our clients through at Knotably Studio for our short form motion content projects.
The Perfect Project Workflow will look very similar for photographers, stop motion artists, videographers, and any kind of visual content producers.
For brand builders, graphic designers, illustrators, web designers, copywriters - a couple steps in the pre-production would be eliminated, but the general structure would stay the same!

PHASE 1
A smooth project starts with a smooth onboarding process! π§
- [ ] Contract sent for signature
- [ ] Deposit invoice (we recommend 30% or 50%, both are within industry standards) sent
- [ ] W9 sent alongside deposit invoice
- [ ] Contract signed
- [ ] Deposit payment received
- [ ] Request for client brief + client materials (brand guidelines, logos and font files etc) sent
- [ ] Product for production : list of products needed for the production (+ quantities) and shipping address provided to the client
- [ ] Client brief + materials received

PHASE 2
Pre-Production, Production + Post: itβs time to roll up your sleeves, get to work and execute your creative vision! πΈ
- [ ] Kick off session (getting familiar with the brief, client materials and any notes from initial call with the client)
- [ ] Ideation / concepts development
- [ ] Concept deck / shot list delivered to the client for approval
- [ ] Concepts feedback / shot list approval received from the client
- [ ] *Potentially : schedule a call to go over the concepts / ideas to get the final green light from the client to move forward
- [ ] Prop sourcing + set building
- [ ] *Potentially - provide prop options for client approval prior to sourcing if necessary
- [ ] If applicable - other pre-production items such as casting, approving and booking talent, location booking, HMUA booking and production day coordination.
- [ ] Production Phase
- If production phase spreads over a few days / a week / longer - break down the production phase into segments per approved concepts / shot list and integrate into your calendar. Group concepts / shots based on similar requirements (angle, lighting setup, backgrounds, set etc) to optimize production time.
- [ ] Post-production (editing, color correction, graphic layers, music and SFX, etc)
- [ ] Submit work for client approval
- [ ] Client feedback received
- [ ] Revisions (Round 1 / Round 2 ; based on the contract terms)
- [ ] Submit revised work for client approval
- [ ] Renders / exports + optimization for social (encoding)
- [ ] Final files delivery

PHASE 3
Offboarding process : time to wrap it up! π
- [ ] Final invoice sent
- Make sure to include any add-ons and extra services that were added throughout the project
- [ ] Final invoice payment received
- [ ] Client wrap up email + testimonial request
- [ ] If applicable : client product returns
- [ ] If applicable : prop returns
